It is a very large company that comprises of large buildings that are widespread in Oregon, California, Idaho, and Washington. Twenty sets of different apartments are owned by this company. There are around sixty different apartments in every complex with varied dimensions. The rented apartments have the lease duration of about 6 months to 1 year. The purpose of this project is to build a centralized database system by using SQL that helps the supervisors of Wild Wood Apartments to carry out the business with efficiency and ease regularly. By improvising the central database of wild wood apartment’s complexes, it is easy to keep a track of the daily business of every apartment and to send the daily reports. Each and every element of data for leasing and various others information’s are also controlled by central database system. This centralized database acts as a web interface, which means a connection between the users and the system. In this scenario under users, we have managers, tenants and other staff. With the help of this new system, the tenants can view their leasing agreement duration. In addition, they have the access to the rental payments which have to be made. All the reports are prepared with updated information and it gets delivered to the quarterly reports. A new central database system would make the apartment manager’s job much easier to manage all the records and reporting’s of the daily business. (Hernandez, 2000). There are three different types of individuals present in the organization who are also recognized as stakeholders or actors. They include: • The tenants of the apartment • The managers of the apartments • Wild wood apartment company Unique stakeholders’ roles The Company would take over the legal rights of the apartments and managers are appointed to take care of the management. All the revenue related issues will be taken care of by the company. The issues that are associated with the tenants will be taken care of by the manager. He will carry out the procedure of leasing the apartment to the tenants. The manager will also take care and keep a record of payments made by the tenants for rents. Further, he will also take care of the issues related to the maintenance of the apartment. The leasing procedure starts with the occupancy of the apartment by the tenant and the monthly payment of rent to him. In this entire process the apartment manager doesn’t have any direct relationship with the tenants. As such, the roles of the manager will be similar to those of a middleman. The objectives will be communicated by the heads of the departments. (hero, 2014) Current problems of the present system Since the Wild Wood Apartments are wide spread in various places, location managers have the responsibility to send all the related complaints, documents, and the various issues to the head office. The whole procedure is considered as a time-consuming process and the companies’ growth would be effected by this process. The procedure followed for the leasing policy has to be changed by extending six months contract to the one year contract. (Hernandez, 2000) Other related problems • Manual work is a time-consuming; In this case, all the entries are entered manually and stored in the present existing system. • Storage is again done in excel sheets separately. • Changes made or occurred have to be updated manually. • There is no automatic search facility so it is taking time while searching a record. • Calculation has become complex. Main challenges As the manual work is ambiguous while collecting and sending the data, the data which is gathered may not be accurate. One more challenge is that it consumes a lot of time, when this manually collected data has to be made into reports and sent to the head of the department. So the 2 major challenges in the current system is delay in data availability on time and incorrect data. Requirements of the business There is requirement of storage of all the processes of wild wood apartments in the database. They would like to store other operations also in the database. They are: • All the records of new and old tenant’s must be stored in the database. • Database includes the storage of payment details. • One of the important criteria is to handling the operation maintenance. • Should maintain a head office at each location. • Maintenance of the central data base. • Transactions made for the rents have to be handled. • Should give the managers of the apartments an entering, editing, view, and delete options of leasing details • Provide view access of all the records to the managers from the headquarters • Requirement of database which is centralized. (Hernandez, 2000) Current system limitations • The present system doesn’t seem to be effective and the main backdrop is that it consumes a lot of time. • As the present system includes the manual work and majority of it is based on the paper, it cannot produce good data and also unavailability of data at fingertips takes place. • Generating reports related to expenses would be difficult and it is also time-consuming • The major concern is all about accuracy of the data and in reports verification. • Another major issue is the inconsistency in the current system as it does not have the facility for the data update.
