MGMT 404 - Devry (Project Management) The opening of a coffee shop Week 8: Final Project Executive Summary– In the fast-changing global environment, one thing at all employees and people gener... ally forward to is having their daily cups of coffee, which makes opening a coffee shop a very good business venture, if one has an excellent product at a suitable location. For being able to capitalize on one such opportunity, of a high quality and fast delivery coffee shop at a busy commercial location, we present here the project plan to successfully open this business. Every aspect of successfully completing this project, such as defining the scope, coming up with the activities and resources needed, establishing communication plan and managing risk are identified to ensure that bets practices are employed to successful completion of this project. The project plan works towards the objective of successfully ensuring that the project is completed within the tripe constraints of time, effort and cost and has the coffee shop running within its targeted start date. Project Scope statement –The scope for the coffee shop project is described in this section Project objective: To open a coffee shop within a period of 2 months and within a cost of $75,000. This would be a coffee shop that would be based on the tenets of high quality and fast service, and which would target office goers on a busy commercial location. The project objective would be to ensure that all activities that are needed to open the shop are effectively managed and completed within a period of two months. Project Deliverables:  Fully operational coffee shop having a capacity of making 500 coffees a day  Seating capacity of 10 people  All paining, wiring and electrical work  Installation and testing of coffee machines, fridge and mixer  Design and printing of menus  Design and printing of marketing material such as brochures  Creation of initial marketing and social media marketing campaign Project Milestones: Finalize and sign on lease agreement for property – September 25  Approvals and licenses from relevant local authorities – October 10  Painting and wiring completed – October 25  Successfully test the coffee making equipment and other appliances – November 15  Menu and promotional equipment printed – November 15  Final inspection and sign off – November 18 Technical requirements: The coffee shop must be compliant with all required laws and regulations  There must be a warranty of 3 years with same day or next day service for all equipment  The wiring, air conditioning should be certified for safety and quality  Coffee makers should have a capacity of making 1000 coffees a day  The freezer should have a capacity of 500 liters  The menu should be printed on thick paper having GSM of more than 200 Limits and exclusions: Rent, salaries and other costs are not included in the above budget  Work would be carried out as per plan provided by owner  Site working timings limited from 9.00 AM to 6.00 PM  Contractor can subcontract work as required, but would be solely responsible and accountable for deliverables  Hiring and training staff is not included as part of project scope  Warranty is applicable on furniture only and does not apply to painting or furniture Reviews with customer: Coffee Shop owner and project sponsor Work breakdown structure: The various phases and activities that need to be completed to achieve project objectives are shown in the below work break down structure. As can be seen, there are 6 major phases that need to be completed for successfully completing this project within the targeted Go Live date. Network diagram– Given that the project is on a very tight schedule of being completed within a period of two months, it is very critical that I can effectively identify the activities that are on the critical path and manage them well so that they are not delayed and can be completed within time. The network diagrams of the project with the activities on the critical path are shown below; the activities that are in red are the activities that are on the critical path. Risk management plan: Another key area that would need focus for effectively and successfully completing the project would be ensuing that there is a structured approach to identifying the various risks that can come on to the project and then following a best practice based framework to ensure that proper responses and contingencies for the various risks are prepared. For the coffee shop project, the risk evaluation matrix that is used for identifying the various risks that can impact the project, the degree of impact on the three constraints, the probability of the risk occurring are performed to come up with a weighted risk score that helps in effectively ensuring that major risks are identified and proper responses to these risks made.
